Countertop Office for landscapers

Software for landscaping businesses.

Quote the project, schedule the crew, track hours, plants and materials on every job, and bill regular maintenance on a schedule. Countertop Office keeps a landscaping business's jobs, stock, suppliers and books in one place, with BAS prepared from the same records.

How the work moves

Projects and maintenance from one set of records.

Each step starts from the record before it, so the client, the scope and the prices are never typed in twice.

  1. 01

    Quote the project

Build the quote from your rates for labour, machine hire, plants and materials, and send it for online approval.

  2. 02

    Schedule the crew

Turn the accepted quote into a job with phases such as site prep, hardscape and planting, and book the crew's visits.

  3. 03

    On site

Log hours and materials used against each visit, work through the checklist, and get the client's sign-off.

  4. 04

    Bill and maintain

Invoice the project from the job, then set up recurring invoices for ongoing maintenance agreements.

For landscapers

What a landscaping business uses most.

Every feature is on both plans. These are the ones that matter most for landscapers.

  • Recurring maintenance invoices Bill weekly or monthly maintenance on a schedule, and pause or resume it when the client asks.
  • Plants and materials Track stock by location, such as the yard and each truck, with reorder levels and low-stock alerts.
  • Supplier bills Record nursery and landscape supply invoices against your orders, then pay them with credits applied.
  • Variations Changes on site go on the job as variations, and approved ones are billed with the rest of the work.
  • Deposits on big projects A billing plan takes a deposit up front and claims the rest in stages.
  • Job profitability Compare quoted and actual hours and materials, and see which projects made money.

Worth knowing

What it doesn't do.

Better to know now than after you've moved your records across. If one of these is a deal-breaker, Countertop Office isn't the right fit yet.

  • No repeating jobs Recurring invoices bill regular work on a schedule, but each visit is booked on the schedule board.
  • No card payments Customers pay to the bank details on your invoice. Countertop Office records the payment, but it doesn't take cards.
  • No app-store app It runs in your phone's browser, so there's nothing to install, but it needs a signal to work.
  • No payroll Wages and PAYG withheld go on the BAS by hand as W1 and W2. The rest of the BAS is calculated from your records.

Questions

Common questions from landscapers.

Straight answers on site work, tax and what it costs.

Can it schedule regular maintenance visits?

Not automatically. Recurring invoices bill maintenance agreements on a schedule, but visits don't repeat on their own: you book them on the schedule board.

Can I track plants and materials?

Yes. Plants, soil, pavers and other materials can be stock items with reorder levels, held in more than one location and recorded against each job as they're used.

Do landscapers need to lodge a TPAR?

If your business is mainly in building and construction and you pay contractors for that work, you generally need to lodge a Taxable Payments Annual Report by 28 August each year. Landscape construction is generally treated as a building and construction service. Countertop Office prepares the report from the payments you make to suppliers marked as contractors, and you lodge it in ATO Online services. Check with your accountant if you're not sure it applies to you.

Is it priced per user?

No. Business is $49 a month for up to 20 users, so adding an apprentice or an office helper doesn't change the bill. Solo is $19 a month for one person. Both plans include every feature, and no GST is added.

Can I bring my records across from my current software?

Yes. Export your clients, suppliers, products and services as CSV or Excel files and upload them. Countertop Office suggests which of your columns match its own, and you confirm before anything is imported.
